Privacy Policy
Koohost.ai ("Koohost", "we") is a short-term-rental operations dashboard for property hosts. This Privacy Policy explains what data we handle and why.
1. Data we handle on your behalf
When you sign in to Koohost, we connect (with your permission) to third-party services that you already use as a host:
- Hospitable — guest names, contact info, reservation dates, and message threads.
- PriceLabs — your nightly rate strategy and comp pricing data.
- Lodgify (legacy) — booking and rate data.
- Google Nest — thermostat status and setpoints for your properties.
- OpenAI — used to draft replies and answer your questions. Inputs are sent to OpenAI's API per their data-handling policy.
We pass your guests' messages and booking metadata through these services to render the operations cockpit you see. We do not sell, rent, or share your data with anyone outside those listed services.
2. Data we store
- Your account email and authorized properties.
- Guest message history, AI draft replies, AI activity logs, push subscriptions.
- Property facts you teach the AI (wifi, parking, house rules, etc.).
- Pricing decisions Koo proposes or applies on your behalf.
Stored on Railway-hosted Postgres in the US. Encrypted at rest. We retain data as long as your account is active. You can request deletion any time by emailing [email protected] — we'll wipe your account within 14 days.
3. AI training data
Koohost's AI assistant ("Koo") learns from your sent guest replies to mimic your tone. This training is local to your account — your replies are never used to train models for other Koohost users or shared with OpenAI for retraining their base models.
You can clear all learned facts anytime via the Train Koo screen.
4. Privacy of your guests
Koo is bound by strict privacy rules baked into its system prompt:
- Never include another guest's phone, email, full name, or booking dates in a reply to a different guest.
- Never share the host's personal phone, email, or home address.
- Door access codes rotate per booking — Koo never reuses one across guests.
5. Cookies and tracking
We use a single session cookie (session) on .koohost.ai to keep you
signed in. No advertising trackers, no third-party analytics, no fingerprinting.
6. Your rights (GDPR / CCPA)
You can request: a copy of your data, correction of any incorrect data, deletion of your account and all associated data, or portability of your data to another service. Email [email protected] for any of these.
7. Children
Koohost is not intended for use by anyone under 18. We don't knowingly collect data from minors.
8. Changes to this policy
We'll update this page (and bump the date at the top) when the policy changes. Significant changes will be emailed to your account address.
